3 Delegation Strategies That Actually Work for Busy Executives

If you're a founder, executive, or entrepreneur with too much on your plate, you've probably heard the phrase: "delegate to elevate." But what does effective delegation really look like?
At The First Pick VA Group, we work with leaders across industries who are brilliant in their zone of genius—but overwhelmed by everything else. The good news? Delegation isn't about giving up control. It's about focusing on what matters most.

Here are 3 simple but powerful delegation strategies that actually work:
1. Start Small and Repetitive
If you’re just getting started, identify 2–3 recurring tasks you do every week that don’t require your unique expertise. Common examples include:
  • Managing your inbox
  • Scheduling calls and meetings
  • Data entry and file organization
  • Sending client follow-ups
These are ideal first-delegate tasks because they're easy to explain, easy to measure, and free up real time quickly.

2. Create a "Pass-Off" Document or Loom Video
Clarity is everything in delegation. Once you've identified a task to hand off, document the process in a shared file or record a Loom walkthrough. Include:
  • Logins and tools needed
  • Step-by-step instructions
  • What "done right" looks like
The more context you give upfront, the more confident your assistant will be in handling it with minimal back-and-forth.

3. Set Communication Checkpoints
Delegation without communication is just chaos. We recommend setting up weekly check-ins and using shared dashboards (like ClickUp or Asana) so you can:
  • Stay aligned on goals and timelines
  • Catch issues early
  • Offer quick feedback to improve results
The goal is to empower your assistant to take ownership—not to micromanage.

Bonus Tip: Don’t Wait Until You're Drowning
Delegation works best when it's proactive. Waiting until you're overwhelmed makes it harder to train and transition. Instead, start building support now—before the chaos hits.

If you're ready to stop doing it all yourself, The First Pick VA Group is here to help. Whether you need a part-time VA or a full-time EA, our team matches you with vetted, trained professionals who are ready to lighten your load.
