A Day in the Life of a High-Functioning Virtual Assistant

Ever wonder what an exceptional virtual assistant actually does? If you’re imagining someone just answering emails or managing calendars, you’re only scratching the surface.
At The First Pick VA Group, our VAs are trained to be proactive, strategic partners for executives, entrepreneurs, and remote teams. Here’s what a typical day might look like for a high-performing VA:
8:00 AM – Priority Check-In
The day starts with a review of the executive's calendar and inbox. The VA flags urgent items, responds to simple requests, and prepares a daily summary of what needs attention—so the client starts their day focused.

9:30 AM – Meeting Prep & Follow-Up
Before meetings, the VA preps talking points, sends reminders, and makes sure all materials are ready. Afterward, they handle follow-ups, send summaries, and track action items in the project management system.

11:00 AM – Project & Admin Work
Whether it’s coordinating a travel itinerary, editing a slide deck, or updating a CRM, this is when the VA dives into high-value tasks. They prioritize based on deadlines and make sure the executive never has to chase progress.

1:00 PM – Team Communications
A great VA often acts as a gatekeeper and liaison. They check in with team members, schedule syncs, and update timelines to keep things moving. Their job is to reduce friction and keep everyone aligned.

2:30 PM – Process Improvements & Optimization

4:00 PM – End-of-Day Summary
Before signing off, the VA sends a short update highlighting:

  • What needs the client’s attention
This keeps the client in the loop without requiring more meetings or emails.
